Main Purpose of the job: A member of the WEConnect International team with responsibilities related to the effective management and growth of the office, supporting the Director of Operations in daily operational tasks and requirements, and supporting the COO in any team or organization development or support needs.

The Office Manager and Operations Assistant is responsible for supporting, managing, and conducting tasks that enable the office and the team to run effectively, which includes helping to develop new processes and capabilities for the organization.

Job Responsibilities: To support the Director of Operations to ensure the efficient and effective management of operations for WEConnect International in accordance with its mission and regulations. To take the lead responsibility for overseeing the effective and efficient management of the office while developing components that embrace and integrate our core values and culture throughout the office.  To support the COO in any team or organization development needs.  

  1. Effective Organizational Management and Development
  • Support and manage office needs as relays to processes, administration, supplies, IT support, technology, moves and office improvements
  • Support and lead the development and adherence of office policies, team activities, and functions
  • Support procedures related to accounts payable/receivable
  • Support daily QuickBooks data entry/management
  • Research organizational compliance with relevant government rules and regulations
  • Support annual reviews and annual audits
  • Support payroll administration
  • Support employee reimbursement process and requests
  • Support outside relationships with outside vendors
  • Manage orientation of all new employees
  • Support the research and coordination of benefits administration
  • Support facility and office management, maintenance and repair
  1. Global Responsibilities
  • Manage weekly team meetings and reports, take notes and provide action items for team members to follow up on, and send out relevant updates to the global team
  • Participate in global team and member calls to capture notes, provide support, and ensure action items are identified and followed up on
  • Support contracts with global team and global vendors
  • Support operational requirements involved in the certification process
  • Training consultants and staff in new functionality related to the office as it is available
  • Develop training materials for the global team as needed
  • Support global events and programming as needed
  • Support the CEO and COO in special projects
  1. Sustainability
  • Provide support to the Director of Operations as it relates to grants, operations, and financial procedures
  1. Membership
  • Provide support in managing membership dues, requests and services
  • Support the development and effective execution of Board and Member meetings, managing the logistics and working closely with other team members to ensure all materials are presented effectively

Key Qualifications:

  • Experience managing projects especially related to office and team development
  • Extremely detail oriented and organized
  • Understanding of accounting and fiscal management obligations and a willingness to build additional capacities to do so
  • Able to travel occasionally
  • Must demonstrate a proven track record of program management and/or organizational skills
  • Empathy with women business owners
  • Patience and high communication skills to be able to address concerns and questions of various stakeholders
  • Experience of relationship management with multinational corporations
  • Knowledge and experience with supply chain systems and processes
  • Ability to develop and update reports and communicate achievements and challenges to key stakeholders
  • Excellent written communication skills
  • Understanding of technology and business process improvements
  • Excellent understanding of Excel
  • Ability to work alone and as a part of a team
  • Demonstrate effective research and data analytic skills
  • Ability to set and meet targets independently and to manage and deliver projects to timelines set by the executive team
  • Awareness of procurement practices nationally and internationally
  • A ‘self-starter’ with excellent motivating skills, enthusiasm and vision and a willingness to think big and encourage the team to develop new approaches to overcome challenges
  • Sound judgment and good political skills and a flexible approach to work
  • Fluency in English required and knowledge of other languages and work experience in other countries and cultures preferred
  • Solid educational background – undergraduate degree highly desired
